The most common use cases for utilizing an Event Guest List or Reference List are:

1. Use an Event Guest List as a Capture Method

   • An Event Guest List serves as an additional data source, allowing Romify to reference a predefined list of attendees instead of relying solely on AI enrichment.

     Common examples:

     • Trade shows: A list of registered attendees is provided before the event.
     • Private events: A happy hour, dinner, or other invitation-only event has a predefined guest list.

   • How it works:

     • After uploading a guest list, scanners can capture attendees in one of two ways:
       • Search the guest list manually by selecting the Event Guest List capture method and searching for a name. (Learn how this works here.)
       • Scan an attendee's badge. Romify first checks whether the attendee's First Name, Last Name, and Company match a record in the uploaded guest list.
         • If a match is found, the guest list becomes the primary source of attendee data.
         • If information is missing from the guest list, Romify automatically supplements the record with any additional details it can confidently identify through AI, such as a LinkedIn profile.
2. Setting up a Known Reference List for Flow questions
   1. Ex: You want to upload a list of your Sales team’s names allowing the lead scanner to select which Sales rep the lead should be assigned to

Uploading an Event Guest List for the Event Guest List Capture Method

• Select the Event you would like to add the list to from your Events List view

• Event Guest List - click the Add Guest List button (found in the Event details view within the Event Flows box) (1)

  Important Note: If you would like to upload a .csv file directly to the event as opposed to creating a Reference List first, you will need to do this by transferring your original data to the Master Template file found below and selecting the “Upload New List” Option straight from the Purple Box shown below

• Select Flow - Select the Flow that the list should be added to (2). Click the Next button (3).

• Select Guest List Source - Select an existing list or upload a new list (4). Click the Next button (5).

• For the Upload New List option, simply Drag and Drop your .CSV file, using our Master Template’s format (you may download the file below), or click on the box to select one (7). You also have the option to set the Event Guest List to be the Primary capture method (8). Click the Next button (9).

  • Note: Be sure your information has been transferred to the below Master Template prior to upload

• For the Add Guest List - for the Select Existing List option (4), choose the Reference list that was created earlier (6)

• Review - review the number of contacts that were uploaded to confirm accuracy (10) and click the Done button (11).
• You can also remove the Event Guest List as a capture method by clicking the Remove button (12)

• Event Guest List - once setup is complete, the words “Event Guest List” will appear as a selected capture method in the Event Flows box (13)
