At Romify, we use four different statuses to describe events: Planned, Live, Completed and Failed. This article will explain what each status means and when to use them.
Planned



For designing a future event:
- The Event will not be visible in the Romify Mobile App
For the Planned status, we have two sub-statuses:

User Training mode - allows for end user training before the Live Event
- The Event will be visible in the Romify Mobile App to all Event Users
- All integrations are disabled, preventing any training leads from entering your end system—eliminating the need for manual cleanup after training.
- All Leads created while in User Training mode will be deleted once User Training mode is turned off
Live

The event is currently in progress:
- The Event is visible in the Romify Mobile App for all event users
- All integrations are active and leads are forwarded to your end system in real time
Completed

The Event has ended and no more leads are expected to be captured from our end users:
- The Event is no longer visible in the Romify Mobile App
- The event can no longer receive new leads
Failed

The Event will be marked as FAILED if:
- There is not enough tokens in the system preventing the Event from going LIVE
- No leads were captured during the event
Time Limits for the LIVE Event Status
An event can remain in LIVE status for a maximum of 28 days
- The event duration (time between Event Start Date and Event End Date) can be up to 14 days.
- An event can be manually set to LIVE up to 7 days before the Event Start Date by the administrator. See automated timeline details below
- An event will automatically move to COMPLETED status 7 days after the Event End Date, but the administrator can close the event manually already before if needed.
Automation of Event Statuses

Below are the automated status transitions.

Planned (including Testing and Training mode) → Live
- To ensure your event is Live on time, the system will automatically activate the event at midnight (local event time) on the night before the Event Start Date.
- For example, if the Event Start Date is March 2 and the event takes place in New York, USA, Romify will automatically set the event to Live at midnight between March 1 and March 2, based on New York’s local time (EST).
